We are seeking an Administrative Support Professional to support Rocket Shop Programs at our Huntsville, AL facility. This position provides overall administrative support to two Senior Directors and the Program Managers reporting to them. Responsibilities include management of the Directors’ schedules, conference room meeting setup, travel arrangements, meeting minute and records  preparation, special presentation preparation, coordination of special events and support of communications to reporting PM’s, Chief Engineers, Executives and customers.  This role will require frequent interaction with intra- and inter-organizational contacts, customers, and public agencies that will require good diplomacy and judgment to resolve conflicting needs.  This position will also support multiple PMs with travel arrangements, expense reports, conference room scheduling and food services, This position will also be responsible for maintaining an inventory of supplies with ordering authority that may eventually include delegated buyer authority.

Requirements

High School diploma, or equivalent, preferred, and five (5) years of related experience.

 

Proficiency in Microsoft Word, Excel, PowerPoint and Outlook.  

Must possess strong organization skills and attention to detail.

Ability to multi-task with frequent interruptions and critical time constraints.

Effectively prioritze assignments, providing consistent quality results.

Assists management in analyzing and coordinating project planning, resourcing, staffing, quality, reliability, schedule and cost.

Assist to analyze and establish plans to meet key project objectives, and to identify and resolve issues.

Assist in monitoring and managing critical department and project information, and schedules.

Provide administrative guidance for activities in defined scope of responsibilities.

Effectively work as a team member.  Successfully establish and maintain cooperative working relationships.  Effectively communicate with all levels of management and individual contributors. 

High level of confidentiality relating to sensitive information.  Maintain sensitive documents/files for manager.

 

US Citizenship only required. This position requires the employee to have access to premises or perform duties which are subject to national security requirements of the United States under government contracts that impose US Citizenship requirements for such positions. 

 

This position may be filled at this level or one level higher.

 

 

Employees in these positions must possess mobility to work in a standard office setting and to use standard office equipment, including a computer; stamina to sit and to maintain attention to detail despite interruptions; may occasionally lift/carry/push/pull up to 15 pounds; may require minimal walking, climbing, stooping, crouching, and/or bending; and vision to read printed materials and a computer screen, and hearing and speech to communicate in person and over the telephone.  May require the ability to travel by air or auto.  May require the use of personal protective equipment such as safety glasses, safety shoes, and shop coat.  These positions may be expected to work varying shifts and hours to ensure successful operation of activities in the organization.
