    We are seeking an Administrative Support Professional to support our Missile Defense Program staff at our Huntsville, AL facility. This position will report to the Sr. Director of the Missile Defense Program Sector and provides overall administrative support to multiple senior-level directors, directors, managers and their staff and program teams. Responsibilities include management of schedules, conference room meeting setup, travel arrangements, meeting minute and records preparation, special presentation preparation, coordination of special events, food services and support of communications to Executives and customers. This position will also be responsible for the collection and reporting of organizational data/metrics, Training Coordination (course setup, administration, completion monitoring, reporting), and support to other special projects as needed. This role will require frequent interaction with intra- and inter-organizational contacts, customers, and public agencies that will require good diplomacy and judgment to resolve conflicting needs, and ability for discreetly handling sensitive personnel and management topics. This position will also be responsible for maintaining an inventory of supplies with ordering authority that may eventually include delegated buyer authority.

    Essential Job Functions (Including % of Time for Each)

    Under minimal supervision, performs a variety of executive administrative support duties that are complex in nature and where judgment and initiative are required in resolving problems and making recommendations.


    60% - Missile Defense Program support, business rhythm and performance data collection and reporting support, and Training Coordination, ARBOS Support.

     

    15% - Director Report Coordination, Presentation Coordination/Preparation.

    10% - Travel Booking & Expense Reporting for Missile Defense Program Sector.

    5% - Ordering General Supplies.

    10% - Other Duties as Assigned.

    Requirements

    Requires High School diploma or equivalent and 7 years of experience in a directly related field, or an equivalent combination of education and experience. Associate's degree and work experience within a DoD organization preferred.

     

    US Citizenship required. Must also be able to satisfy federal government requirements for access to government information, and having dual citizenship may preclude you from being able to meet this requirement. Must be able to obtain and maintain a U.S. Security Clearance at the appropriate level.

     

    Proficiency in Microsoft Word, Excel, PowerPoint and Outlook, WebEx. Must possess strong organization skills and attention to detail. Ability to multi-task with frequent interruptions and critical time constraints. Effectively prioritize assignments, providing consistent quality results. Assists management in analyzing and coordinating project planning, resourcing, staffing, quality, reliability, schedule and cost. Knowledge of Oracle MRP systems a plus

    • Assist to analyze and establish plans to meet key project objectives, and to identify and resolve issues.
    • Assist in monitoring and managing critical department and project information, and schedules.
    • Provide administrative guidance for activities in defined scope of responsibilities.
    • Effectively work as a team member. Successfully establish and maintain cooperative working relationships.
    • Effectively communicate with all levels of management and individual contributors.
    • High level of confidentiality relating to sensitive information. Maintain sensitive documents/files for managers.

     

    Work Environment and Physical Requirements:

    Employees in these positions must possess mobility to work in a standard office setting and to use standard office equipment, including a computer; stamina to sit and to maintain attention to detail despite interruptions; may occasionally lift/carry/push/pull up to 15 pounds; may require minimal walking, climbing, stooping, crouching, and/or bending; and vision to read printed materials and a computer screen, and hearing and speech to communicate in person and over the telephone. May require the ability to travel by air or auto. May require the use of personal protective equipment such as safety glasses, safety shoes, and shop coat. These positions may be expected to work varying shifts and hours to ensure successful operation of activities in the organization.
