We are seeking an Executive Assistant to support our General Manager at our facility in Redmond, WA.

    This position has responsibility for all administrative functions for the GM and several Directors. Customer service skills are essential for this position. This is a demanding position and may require extended hours and significant coordination of visitors and special events. He/she will interface with various departments and teammates, including executive level personnel.

    The successful individual will need to solve problems with limited direction, display a high degree of initiative, demonstrate excellent organizational skills and ability to follow tasks through to completion and effectively communicate with personnel at all levels of the company. Additionally, this position will handle confidential and company-sensitive information with considerable discretion, judgment, tact and diplomacy. Manages multiple tasks simultaneously and rapidly adapts to changing circumstances.

    Essential Job Functions (Including % of Time for Each)

    25% - Arranges and supports the General Manager and several Directors with calendar management, including but not limited to meeting scheduling, coordination and execution; customer visits and site tours. Supports site-wide event planning and execution.

    10% - Provides general assistance to other managers and employees at the facility.

    10% - Arranges employee travel reservations and business meetings/functions. Plans for and monitors customer meetings. Prepares expense reports and handles invoices.

    15% - Assists in the implementation and tracking of Operational Excellence initiatives, projects and metrics.

    10% - Processes material in final form from rough and involved drafts that require frequent use of business and technical terminology and which combine materials from several sources. Requires extensive use of Microsoft tools including Excel and PowerPoint.

    10% - Performs assignments including responding to inquiries, solving problems, and locating and summarizing information - executes complex sequence of operations in an established field under continually changing conditions requiring independent action. Reviews and answers inquiries using initiative and determines within established guidelines if executive action is required. Provides information as appropriate about organization and procedures.

    10% - Gathers company internal data and compiles reports; compiles and organizes data for the programs group, maintains sensitive files and records. Prepares, organizes and collects files, and performs data archiving. Ensures rapid retrieval of files.

    10% - Performs independent retrieval and combination of data from different sources including Oracle-based systems; assists with data analyses.

    SECONDARY FUNCTIONS: Other duties as assigned.

    Requirements

    Requires a high school diploma or equivalent and 7 years of directly related administrative support experience, or an equivalent combination of education and experience.

    Additional Requirements:

    • Must have the ability to handle multiple actions simultaneously with frequent interruptions and time critical responsiveness.
    • Requires strong working knowledge of MS Office (Word, PowerPoint, Excel) and Outlook. Experience with the Concur Travel and Expense reporting application is highly desirable.
    • Must be able to operate standard office equipment; to effectively interface with executive levels of personnel and work in a team environment; to communicate effectively, both verbally and in writing; and to effectively schedule and prioritize work flow.
    • Requires knowledge of typical office practices, policies and procedures, filing systems and record keeping.
    • Also requires knowledge of business correspondence, including rules of grammar, sentence structure, punctuation and spelling.

    US Citizenship required. Must also be able to satisfy federal government requirements for access to government information, and having dual citizenship may preclude you from being able to meet this requirement.

     

    Work Environment/Physical Requirements:

    Employees in these positions must possess mobility to work in a standard office setting and to use standard office equipment, including a computer; stamina to sit and to maintain attention to detail despite interruptions; may occasionally lift/carry/push/pull up to 15 pounds; may require walking around the site, climbing, stooping, crouching, and/or bending; and vision to read printed materials and a computer screen, and hearing and speech to communicate in person and over the telephone. May require the ability to travel by air or auto. May require the use of personal protective equipment such as safety glasses, safety shoes, and shop coat. The position may occasionally be expected to work varying shifts and hours to ensure successful operation of activities in the organization.
