    Reporting to the Chief Executive Officer (CEO) Chief of Staff, the Senior Executive Assistant to the CEO provides direct administrative support to the CEO. The successful candidate must be able to identify and solve problems with minimal supervision, displaying a high degree of initiative, and be able to effectively communicate at all levels within the company.  This position is located at Aerojet Rocketdyne's corporate headquarters in El Segundo, CA.

     

    This position works with a high degree of discretion, confidentiality and independence.

     

    The Senior Executive Assistant ensures that the CEO is made aware of issues that need immediate attention, and handles critical and sensitive business matters.

     

    The Senior Executive Assistant is responsible for the overall administration of the CEO’s El Segundo office and provides support to other resident or visiting executives as needed.

     

    This position maintains office procedures to ensure optimum efficiency and effectiveness; and manages the duties of the position with a high level of integrity, professionalism, discretion and responsiveness.

     

     

    Essential Job Functions (Including % of Time for Each)

    Under minimal direction, performs a variety of executive administrative support duties that are complex in nature and where judgment and initiative are required in resolving problems and making recommendations.

     

    80% - Provides direct support to the CEO, to include a wide variety of administrative functions.

    • Responsible for the management of calendars, meeting coordination, appointment scheduling, telephone coverage, travel planning, preparation of correspondence, expense reporting and reimbursement.
    • Prepares sensitive, complex documents and forms; creates detailed presentations, charts and spreadsheets.
    • Plans and organizes work and develops procedures to meet requirements.
    • Developing knowledge of the practices and procedures of the Company is essential. 

    10% - Performs non-routine assignments including responding to inquiries, solving problems and locating and summarizing information.

     

    10% - Prepares and maintains sensitive and confidential information and communication; Manages projects related to CEO office administration.

     

    Secondary Job Functions:

    • Reviews and answers inquiries related to the above organization and determines action required.
    • Provides information about company and organization policies.
    • Provides visitors with administrative interface and support.  

    Requirements

    High school diploma (or equivalent) and at least 9 years of directly related experience (15+ years of experience preferred), or an equivalent combination of education and experience sufficient to successfully perform the essential duties of this position. Five (5) years of experience must have been at the senior executive support level.

     

    US Citizenship required. Must be able to obtain and maintain a U.S. Security Clearance at the appropriate level (U.S. Citizenship required). Must also be able to satisfy federal government requirements for access to government information, and having dual citizenship may preclude you from being able to meet this requirement.

     

    Additional Requirements:

    • Requires a thorough knowledge of technical office applications and devices, including advanced proficiency in Windows, MS Office and expense applications.
    • Excellent verbal and written communication skills.
    • Demonstrated experience in producing executive level communication and presentations for internal, external clients and Board members.
    • Ability to manage the demands of competing priorities and multiple stakeholders while maintaining a professional and positive demeanor.
    • Responsible for work issued cellphone and must be available to make travel arrangements etc. during off hours on occasion.

    Work Environment/Physical Requirements:

    Employees in this position must possess mobility to work in a standard office setting and to use standard office equipment, including a computer; stamina to sit and to maintain attention to detail despite interruptions; may occasionally lift/carry/push/pull up to 15 pounds; may require minimal walking, climbing, stooping, crouching, and/or bending; and vision to read printed materials and a computer screen, and hearing and speech to communicate in person and over the telephone. May require the ability to travel by air or auto. May require the use of personal protective equipment such as safety glasses, safety shoes, and shop coat. This position may be expected to work varying shifts and hours to ensure successful operation of activities in the organization.
