We are seeking an Administrative Assistant 3 at our Aerojet Ordnance Tennessee facility located in Jonesborough, Tennessee. This position provides overall administrative support to the General Manager and other executive staff members. The individual must be mature, professional, capable of exercising discretion and maintaining confidentiality. Under limited supervision, and following standardized methods and procedures, the Administrative Assistant performs a variety of clerical and administrative duties that are moderately complex in nature and where judgment and some initiative are required in resolving problems and making recommendations.
This position may be filled at this level or one level higher.
70% Schedule and prioritize work flow for GM and executive staff; Prepare technical documentation, presentations, standard correspondence, reports, bids and/or proposals; Maintain a calendar for GM and executive staff to include internal and external meetings and travel; Prepare expense reports and check requests for GM and executive staff; Track GM departmental budget; Arrange and organize travel for GM and executive staff; Coordinate and handle some public relations and community engagement.; Manage front office practices, policies and procedures, filing systems and record keeping associated with GM and executive staff; Administer local procurement and travel credit card (P-Card and T-Card) programs; Interpret and follow verbal and written instructions; Understand and implement standard business correspondence, including rules of grammar, sentence structure, punctuation and spelling; Maintain professional telephone and interpersonal skills to effectively interface with all levels of personnel and work in a team environment; Routinely make decisions and exercise some independent action within predetermined limits; Maintain sensitive documents/files for GM and executive staff; Type and proofread a wide variety of reports, letters, and memos.
30% Control scheduling and maintenance of Administrative Conference Room, GM Conference Room, and the AOT Conference Center; Conduct planning and arranging of meals for on-site/off-site meetings; Routinely interact with vendors, contractors, customers, representatives of professional organizations and public agencies; Capable of taking on additional duties such as routine Accounts Payable routines; Maintain and support AOT technical library; Provide assistance in other areas of the facility as required.
High School Diploma or equivalent and five (5) years directly related experience
May be required to obtain and maintain a U.S. Security Clearance at the appropriate level. Requires U.S. Citizenship. Must also be able to satisfy federal government requirements for access to government information, and having dual citizenship may preclude you from being able to meet this requirement.
